How to track date of status update?

You can track the date of a status update to a specific value

This guide explains how to automatically track the date when a record (deal, contact, or company) moves from one status to another in folk.

Overview

Tracking status change dates helps you:

  • Measure pipeline progression

  • Analyze conversion timelines

  • Build more accurate dashboards

This is done using an automation available through the Hub.


Step 1: Get access to folk's Hub

The Hub is a platform that allows you to:

  • Track status changes

  • Create automations

  • Set up integrations

👉 If you don’t have access yet, contact our team to enable it.


Step 2: Open the “Track Status Date” automation

Once you have access:

  1. Open the Hub via the shared link

  2. Navigate to “Track status date”

  3. Start configuring your automation


Step 3: Configure the automation

You’ll need to define:

  • Group → the group where your data lives (e.g. “Sales Pipeline”)

  • Entity type → People, Companies, or Deals

  • Status field → the field you want to track (e.g. “Status”)

Example:
You select a Deals group with a status field containing:

  • Qualified

  • Proposal Sent

  • Closed Won

  • Closed Lost


Step 4: Create date fields in folk

For the automation to work, you must create one date field per status value in folk.

👉 Naming convention (required):
Date - {Status Name}

Examples:

  • Date - Qualified

  • Date - Proposal Sent

  • Date - Closed Won

  • Date - Closed Lost

How to do it:

  1. Go to your group in folk

  2. Create a new field → select Date

  3. Name it following the format above


Step 5: Refresh and activate

  • Return to the Hub

  • Refresh the fields

  • Your newly created date fields will appear

  • Save and activate the automation


Step 6: How it works

Once active:

  • Each time a record’s status changes → the corresponding date field is automatically filled

  • The date recorded = the moment of the status change

  • If a status is updated again → the date field is overwritten with the latest date


Example

  1. A deal moves to “Proposal Sent”
    Date - Proposal Sent is filled automatically

  2. Later, it moves to “Closed Lost”
    Date - Closed Lost is filled

  3. If it moves again
    → The corresponding date field updates


Important notes

  • If a status does not have a corresponding date field → nothing will be recorded

  • Field names must match status values exactly

  • Changes may take a few moments to appear (refresh if needed)
