Workflow assistant

The Workflow Assistant isn't currently available to users.

With the Workflow Assistant, we enable you to automate email outreach with simple workflows based on defined triggers.

What is the Workflow Assistant?

The Workflow Assistant lets you create workflows that run inside a group.

Each workflow has:

  1. Trigger + optional filters (when something happens in a group)

  2. Send an automated email (optional)

To create your first Workflow Assistant, go to Assistants from the sidebar, then open Workflow Assistant (or create a new instance from the “+” card).

How does it work?

1) Set the trigger (required)

Choose:

  • Group (any group you have access to)

  • Record type: People

  • Trigger event

    • Created

    • or Updated (and chose the associated field that is updated)

2) Add filters (optional)

Filters work like group filters to set the workflow to run only on a subset of people or companies.

Example: “In Leads, when Status is updated but only when Status is "Qualified"”.

3) Action: Send an automated email

To save this step you must set:

  • Sender

  • Subject

  • Email body (with or without variables)

You can write from scratch or start from a message template. Templates can include variables (type “/” to insert) like name, job title, company, and eligible custom text fields.

4) Personalize with AI

If enabled, folk will rewrite/enhance the email using:

  • The latest shared interaction with the person

  • The latest public note on the record (private notes are excluded).

5) Preview the email

Use Preview to send yourself a test email based on a selected record (with or without AI personalization). Preview does not consume credits.

6) Where to see campaigns (once sent)

After the Workflow Assistant is set live, folk creates a campaign that aggregates messages sent by that workflow.

Campaign analytics follow the same structure as campaigns in folk (Sent, Not Sent, Opened, Replied, Clicked, Bounced, etc.).

Tracking depends on your sender setup (e.g., tracking can be disabled at workspace level). See settings > senders.

Credits and statuses

Credits

Each workflow completion consumes 1 credit.

Monthly limits (per workspace):

  • Free trial: 50 credits

  • Standard: 1,500 credits

  • Premium/Custom: 10,000 credits

If you run out of credits, the assistant is disabled and you’ll be prompted to upgrade.

Statuses

The Workflow Assistant can have different settings:

  • Active: running normally

  • Inactive: turned off, or disabled due to configuration changes (e.g., deleted field/group)

  • Pending action: blocked by external dependencies (e.g., invalid sender, insufficient credits)

Troubleshooting

My workflow won’t save

Check that you have:

  • A group + trigger event selected

  • At least one action configured (email and/or update fields)

  • For email: sender + subject + body

  • For Update CRM: field + value selected

Emails show as “Not sent”

Common reasons:

  • Recipient has no email address

  • Sender is invalid/disconnected

  • Campaign flagged as spam

  • Tracking/sending constraints depending on your email setup

A field used in my workflow was deleted

If a field used in filters or updates is deleted, the assistant becomes Inactive and you’ll need to review and re-enable it.

What if the person has no email?

If the person has no email, the email is generated but shows as Not sent in the assistant campaign (labeled “No email address”).

Preventing infinite loops

folk blocks obvious “self-triggering” configurations, for example:

  • Trigger: “When Status updated to In Progress

  • Action: “Set Status to In Progress

This would otherwise re-trigger itself indefinitely.
