How to save Grain transcripts into folk?

This guide explains how to record your sales or customer calls, import the transcript into folk, and automatically extract structured insights (like pains, next steps, or lead scores) using Magic Fields.


🪄 Overview

With this setup, every time you record a call (e.g., in Grain), the recording and transcript are automatically added to the related contact in folk.
Then, Magic Fields uses AI to extract and structure useful information — such as:

  • Customer pains

  • Key takeaways

  • Lead score

  • Next steps

  • Decision criteria


🧰 What You’ll Need

  • A Grain account (for recording and transcribing calls) → https://grain.com

  • A folk account

  • A Zapier or Make automation (to connect Grain with folk)


⚙️ Step 1 — Record Your Calls with Grain

  1. Go to Grain and sign up.

  2. Grain automatically records your meetings (Zoom, Google Meet, etc.).

  3. Each recording includes:

    • Video/audio replay

    • Full transcript

    • Speaker identification

🔗 Step 2 — Trigger an Automation When a Recording Is Ready

  1. In Zapier or Make, set the trigger event to:
    Recording Added (in Grain)

  2. This event will fire every time a new call recording is created.

  3. The data you’ll get includes:

    • Recording URL

    • Transcript text

    • Participant emails


👤 Step 3 — Match the Recording to the Right Contact in Folk

  1. From the trigger data, pick the first participant’s email.

  2. Use this email to find the corresponding contact in folk (via the Find Person by Email action).

  3. Once found, retrieve the Person ID.


🗂 Step 4 — Add the Recording and Transcript to Folk

  1. In your folk workspace, go to Settings → Custom Fields.

  2. Create two new fields:

    • Recording URL (Text field)

    • Meeting Summary / Transcript (Long text field)

  3. In your automation, update the Person record with:

    • Recording URL → Grain recording link

    • Meeting Summary → Grain transcript text


🤖 Step 5 — Use Magic Fields to Extract Key Data

Now that your transcript is in folk, you can use Magic Fields to automatically extract and structure insights.

  1. Create Magic Fields such as:

    • Pains

    • Next Steps

    • Lead Score

    • Decision Criteria

  2. Set the source field as your Meeting Summary / Transcript field.

  3. folk’s AI will analyze the transcript and populate each Magic Field automatically.


🎯 Result

Every new call recorded in Grain will:

  1. Automatically sync to the right contact in folk.

  2. Store the recording link and transcript.

  3. Trigger AI-powered extraction of insights (pains, next steps, scores, etc.) via Magic Fields.


💬 Example Use Case

  • You have a sales call with a lead via Google Meet.

  • Grain records and transcribes the call.

  • The automation finds the lead in folk, attaches the recording and transcript.

  • Magic Fields extract:

    • Pain: “Manual reporting takes too long.”

    • Next Step: “Send proposal next Monday.”

    • Lead Score: 8/10

    • Decision Criteria: “Ease of integration with existing CRM.”
