Overview
The Recap Assistant provides instant summaries of recent interactions and notes for any person, company, or deal in your folk workspace.
It shares a quick brief after scanning the latest emails, meetings, call notes, WhatsApp messages, LinkedIn interactions, and any other linked activity to produce a concise summary.
Instead of manually scrolling back through threads or trying to recall context such as “Who reached out last?”, “What did we discuss?”, or “What were the next steps?”, the Recap Assistant surfaces these details for you. Each recap typically highlights:
Who last interacted and through which channel
What was discussed or decided
Any next steps or pending actions
By default, the Recap Assistant follows a structured template that includes an overview, last discussed topics, and upcoming plans. You can also customize the structure to match your preferred sales methodology (MEDDIC, BANT, etc.), ensuring the summary reflects what matters most to your workflows.
The Recap Assistant ensures nothing falls through the cracks by giving you a one-glance, AI-generated brief of your relationship with every contact.
How to activate the Recap Assistant
The Recap Assistant must be activated once for the workspace. Any member can enable it, and once enabled, it becomes available for everyone by default.
Option 1 — Enable from a contact profile
Open any person, company, or deal page.
Locate the Recap Assistant panel on the top of the person, company or deal page.
Click “Generate recap”
A dialog will appear — click Enable Recap Assistant.
The first recap will generate automatically.
A recap is only generated if you're on a contact with notes and/or interactions.
Option 2 — Enable from Assistants settings
Go to Settings and open Assistants.
Find Recap Assistant in the list.
Toggle it ON to activate it for the workspace.
Once enabled, the Recap Assistant appears on every contact profile and each user independently generates their own recap, based on the data they have access to.
How to use the Recap Assistant
Generate a recap
Open any person, company or deal profile.
Click the Recap Assistant panel to generate the summary.
The assistant scans recent interactions (e.g., latest emails, meetings, and notes) and produces a concise summary.
The recap expands on the panel and includes a timestamp such as “Last updated 5 minutes ago.”
Recaps are generated on demand. If new interactions have taken place, simply click again to refresh with the latest information.
Customizing Recap output
You can modify the Recap Assistant’s instructions to change:
Structure (overview, next step, risks, etc.)
Formatting (bullets vs. paragraphs)
Sales frameworks (MEDDIC, BANT, custom)
To customize:
Go to the Assistants settings page.
Select Recap Assistant.
Edit the recap prompt/template and save.
Customizations apply workspace-wide.
Use cases
The Recap Assistant is particularly valuable when:
Preparing for a sales call — Recall context without re-reading email chains.
Re-engaging a dormant lead — Understand what was last discussed.
Transferring ownership — Hand off accounts without onboarding meetings.
Quarterly check-ins — Refresh memory for periodic reviews.
Managing many deals simultaneously — Shift context quickly throughout the day.
In all cases, the Recap Assistant helps reduce prep time and increase conversation relevance.
Troubleshooting and limitations
Recap not available
The assistant requires at least one tracked interaction or note. Add a note or connect an email/calendar account before generating a recap.
Recap feels outdated
Recaps are not continuous — click again to refresh after new communications.
Private by design
Recaps are only visible to the user who generated them.
Cannot edit a recap
Recaps are AI-generated summaries and cannot be edited or deleted. To correct context, update notes or interactions, then regenerate.
Language support
Summaries are optimized for English output, even if source content is multilingual.
Disabling the Recap Assistant
You can turn it off anytime from the Assistants settings page.
Data privacy
The Recap Assistant only uses interaction data already stored or connected in your workspace. Summaries are generated securely and are not saved permanently. Recaps respect existing user permissions — private notes or restricted emails will only appear for users authorized to view them.
