How to import deals with a CSV file

Importing deals into folk lets you quickly bring in your sales pipeline and link deals to people and companies. This is especially useful when migrating from another CRM or when you want to test folk with your own data.

With the CSV importer, you can:

  • Import deals from a file (CSV or Excel).

  • Associate deals with people and companies.

  • Add notes and custom fields during import.

  • Preview and adjust the import before saving.

In this article, we discuss specifically the import of deals. If you need to import people or companies, you can look at this article.

0. Before importing

  1. Navigate in a group where you are managing deals.

  2. Make sure to create the right custom fields before the file import. That will make the import experience smoother. Such as deal status, deal value, or deal create date. To date that:

    • Open the deal's profile

    • Click "New field"

Also note that if you need to have deals linked to existing people and companies, it's recommend to perform the import of people and companies first (here is how). You'll be able then to match these people and companies with the deals during the deal import (more infos on the matching below).

1. Start an import

You can import deals directly from a deal view (table or pipeline)

  • From the empty state (when no deals exist yet).

  • Or from the 3-dot menuImport from file.

This will open the importer with the title: “Import deals to folk”.

2. Prepare your CSV

Your file should include the columns you want to import. At minimum, you need a Deal name.

You can also add optional fields such as:

  • Deal stage (e.g. In discussions, Won, Lost) that should be mapped to a single select (status) custom field

  • Closed date

  • Amount

  • Notes (up to 2 note fields)

  • Custom fields (you can create new ones during the import)

  • People (matched based on email)

  • Companies (matched based on company name)

Example: Deals only

Deal name

Deal stage

Closed date

Amount

Deal 1

Won

11/11/2024

30000

Deal 2

Lost

10/11/2024

25000

Example: Deals with companies

Deal name

Deal stage

Amount

Company 1 name

Deal 1

Won

30000

Acme

Deal 2

Lost

25000

Beta Ltd

Example: Deals with people and companies

Deal name

Stage

Amount

Company 1 name

Person Email

Deal 1

Won

30000

Acme

Deal 2

Lost

25000

Beta Ltd

3. Match your columns

Once your file is uploaded:

  1. Match each column from your CSV to a field in folk.

  2. You can create new custom fields if needed (no need to restart the import).

  3. Check the preview to confirm everything looks correct.

4. Associations and matching rules

  • People: folk looks for matches based on email

    • If an exact match is found → the person is linked.

    • If no match is found → a new person is created.

  • Companies: folk matches based on name

    • If a match is found → the company is linked.

    • If not → a new company is created.

  • Deals: folk matches on deal name to avoid duplicates. Multiple people or companies can be associated with the same deal.

5. Review and import

Once you’re satisfied with the mapping:

  • Click Import.

  • Your deals will appear in the selected deal view.

  • Linked people and companies will also be updated or created automatically.

Tips & limitations

  • You can import up to 25,000 records at once.

  • Each deal can be linked to up to 1 person and 1 company.

  • Notes are limited to 2 fields per deal.

  • After import, you can adjust field types (e.g. change text to number or dropdown).

✅ That’s it! You’ve imported your deals into folk.

If something doesn’t look right, you can adjust your CSV and re-import, or edit deals directly in folk.
